AiMS Health

Privacy policy

Last updated 1 October 2026

AiMS Health is software that gyms, strength and conditioning teams and allied health clinics use to programme training, record sessions and look after the people they coach and treat. This policy explains what we collect, why, where it is kept and the choices you have. We handle personal information under the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Who we are

Athlete Intelligence Management Systems Pty Ltd, trading as AiMS Health (ABN 26 698 924 275), Victoria, Australia. Contact: tim@aimshealth.com.au.

Your organisation and us

You use AiMS through an organisation, such as your gym, club or clinic. That organisation decides what is recorded about you and is responsible for it; we store and process it on their behalf. Questions about the records your coach or clinician keeps are best raised with your organisation first; we will help them respond.

What we collect

InformationExamples
Account and contactName, email address, phone number, the organisation you belong to, your role
TrainingYour programme, the sets, weights and reps you log, session length and effort
Health and wellnessDaily check-ins (sleep, fatigue, soreness, mood), injuries your coach or clinician records, clinical notes written by registered practitioners, testing results such as force-plate jumps
Content you addMessages, notes, photos, form videos and voice messages
Connected servicesIf you choose to connect them: workouts and health data from Apple Health, activities from Strava, and results from testing equipment your organisation uses (VALD, Hawkin Dynamics)
Device and diagnosticsA notification token so we can send you alerts, and error reports when something in the app fails
Membership paymentsPayments are handled by Stripe on its own secure page; we keep a record of what was paid, never your card details

We do not collect your location. We do not use advertising or tracking tools, and we do not sell personal information.

How we use it

Health data from Apple Health and other connected services is used only to show your own training record to you and your organisation. It is never used for advertising, never sold, and never shared with anyone else.

Where it is kept

Your records are stored in Australia: our database is in Melbourne and files are stored in Sydney, and the app's servers run in Sydney (Google Cloud and Vercel). Some services we rely on are based overseas and may process information outside Australia:

SMS messages are sent through Mobile Message (Australia).

How it is protected

Information is encrypted in transit and at rest. Access is limited to people in your organisation according to their role, and each organisation's records are kept separate from every other organisation's.

How long we keep it

We keep records while your organisation uses AiMS. If you delete your account, your login and contact details are removed straight away. Training, testing and clinical records belong to your organisation and are kept by them for the period the law requires (for clinical records, generally seven years); otherwise they are deleted when your organisation asks.

Your choices

Children

People under 16 use AiMS only with the consent of a parent or guardian, arranged through their organisation.
